The Contract Intake Administrator will be accountable for ensuring that contracting paperwork for producers and up-line management in all distribution channels is reviewed for completeness and all preparatory file set-up work is accurately and promptly completed, per established guidelines and service levels. This position is responsible for the initial archiving of producer contracts and accompanying materials into FileNexus.
Key responsibilities/accountabilities
- Receive electronic copy of new producer packages and related documents through ongoing monitoring of department email and fax accounts
- Create new producer files, which include assigning producer numbers, manage the producer number records book, prepare New Producer Intake
- Checklist and Background Adjudication forms, and create new agent file by separating electronic documents and applying appropriate Document Type index and saving them in FileNexus System
- Review electronic copies of paperwork and documents to confirm all necessary information and requirements has been received and document any outstanding requirements
- Check FASAT for existing/prior Foresters producer agent number
- Photocopy any E&O applications & cheques, forward for processing and update appropriate distribution channel’s E&O spreadsheet
- Request background check reports for the new producer from the Business Information Group website
- Determine the appropriate contact person for insurance company(ies) and initiate email request for details on any Vector hits
- Check NIPR to verify all producer license(s) and image copy of full NIPR report to FileNexus for the Contracting Administrator to review
- Update daily count sheet with total number of new producer contracts received each day by channel and provide daily report to Manager
- Collectively work with teammates to maintain the weekly New Agent Contracts report and provide soft copy of the current report to Manager every Monday
- Assign new agent contract files to Contracting Administrators for processing and decisioning
- Maintain department office supplies
- Maintain off-site file storage records, arrange for retrieval and return of documents to off-site when required
Key qualificiations/competencies
- Must have excellent written and verbal communication skills
- Requires an excellent ability to multi-task under pressure and time constraints to meet various deadlines
- Excellent attention to detail and organizational skills are required
- Accurate keyboarding skills with good working knowledge of Word and Excel
- Must be a very strong team player capable of synchronizing Intake workload with teammates
- Knowledge of Foresters purpose, goals and objectives, and Contracting & Compensation Services policies, procedures and standards to ensure that work meets Foresters and Contracting & Compensation Services requirements
- Knowledge of producer contracting application and related forms a strong asset
- Must be available to work statutory holidays to support our US customers
- Must be willing to work extended hours evenings and weekends during peak periods as required in order to meet SLA’s
